Lead Admissions Coordinator

Founded in 1871 as the Hebrew Home for Aged and Disabled and previously referred to as the “Jewish Home”, the San Francisco Campus for Jewish Living (SFCJL) has a long and storied history of providing high-quality care to the community’s most vulnerable older adults. Guided by the values and principles of the Jewish tradition, our mission is to enrich the lives of older adults from all faiths and backgrounds.

Situated in the city’s Excelsior neighborhood on a state-of-the-art, nine-acre campus, SFCJL includes the 191-unit Frank Residences assisted living and memory care (open since 2020), and the 375-bed Jewish Home and Rehabilitation Center (JHRC), which has the distinction of being the largest, private, nonprofit distinct-part skilled nursing facility in the state of California. Additionally, our campus includes a 12 bed, short-term acute psychiatric unit, unique for its specialization in mental healthcare for older adults. All combined, SFCJL serves a vibrant and diverse population of more than 2,500 patients and residents annually.

Position Overview:

The Lead Admissions Coordinator plays a crucial leadership role in overseeing and managing the admissions process for the San Francisco Campus for Jewish Living (SFCJL). This role is focused on ensuring the smooth and efficient management of the admissions team and ensuring that the campus meets its census and occupancy goals. The Lead Admissions Coordinator will collaborate with internal and external stakeholders to ensure the organization achieves its admissions objectives, maintains strong referral relationships, and provides exceptional customer service to prospective residents and their families.

This position reports directly to the Director of Admissions and works closely with other departments to ensure alignment with organizational goals and to optimize the overall admissions process.

Key Responsibilities:

  • Lead the daily operations of the admissions department, ensuring the efficient processing of resident applications, assessments, and insurance verifications.
  • Serve as a liaison with community providers and conduct community outreach in collaboration with the Director of Admissions, Chief Nursing Officer, and NHA.
  • Lead the design, implementation, and continuous evaluation of admissions workflows and policies.
  • Optimize admissions-related technologies and CRM platforms (e.g., Careport, PointClickCare, Epic).
  • Direct the analysis and presentation of admissions data, trends, and performance outcomes.
  • Develop performance dashboards, forecasting models, and operational metrics.
  • Lead, train, and manage the Admissions team to ensure high performance and adherence to organizational goals and standards.
  • - Work closely with the Director of Admissions to meet and exceed the campus’s census and occupancy targets.
  • Develop and maintain relationships with referral sources (e.g., case managers, social workers, discharge planners) to ensure a steady stream of referrals and prospective residents.
  • Oversee Admissions and Intake Coordinator who serve as a point of contact for prospective residents and their families, to ensure clear information, guidance, and assistance throughout the admissions process.
  • Work closely with Nursing, Social Services, Business Office and other departments to ensure a seamless admissions process and efficient bed management.
  • Ensure compliance with all relevant regulations, including HIPAA, and maintain accuracy in patient and resident data.
  • Identify training needs and provide coaching to the Admissions team to improve efficiency, service delivery, and overall performance.

Qualifications Required:

  • Minimum of an Associate's degree in a related field (e.g., healthcare administration, business, or communications)
  • Current LVN/RN license is preferred.
  • At least 5 years of experience in admissions, enrollment operations, or a related field, with at least 2 years in a leadership or supervisory capacity.
  • Strong understanding of healthcare admissions, including insurance verification, medical terminology, and the resident intake process.
  • Proven ability to build and maintain relationships with referral sources, clients, and internal teams.
  • Proficiency with admissions-related technologies, including CRM platforms, EMR systems, and Microsoft Office.
  • Strong communication, interpersonal, and customer service skills.
  • Ability to manage multiple tasks in a fast-paced environment and handle sensitive information confidentially.

Qualifications Preferred:

  • Experience in skilled nursing or long-term care admissions.
  • Familiarity with skilled nursing care pathways and regulations.
  • Knowledge of HIPAA regulations and confidentiality requirements.
  • Experience in a non-profit healthcare setting

Pay Range: 110K - 115K
